The Standard Vacation Accrual Formulas
There are two primary ways to calculate accrual rates depending on your company's payroll policy:
- Accrual per Pay Period: This is the most common method for salaried employees. You divide the total annual vacation allowance by the number of pay periods in the year.
- Formula: Annual Days / Number of Pay Periods
- Accrual per Hour Worked: Common for hourly workers, this ensures that employees earn PTO in direct proportion to the hours they actually work.
- Formula: (Annual Vacation Hours) / (Total Working Hours per Year)
Calculation Example: Bi-Weekly Payroll
Imagine an employee who receives 15 days of vacation per year and is paid bi-weekly (26 pay periods per year). They work a standard 8-hour day.
- Days per Period: 15 / 26 = 0.577 days earned every two weeks.
- Hours per Period: (15 * 8) / 26 = 4.615 hours earned every two weeks.
Calculation Example: Hourly Accrual
If an employee receives 10 days of vacation (80 hours) and works a standard 40-hour week (2,080 hours per year):
- Accrual Rate: 80 / 2,080 = 0.0385 hours of PTO for every 1 hour worked.
Key Considerations for PTO Policies
When setting up or auditing your vacation accrual, keep these factors in mind:
- Carry-over Limits: Does the policy allow employees to roll over unused hours to the next year?
- Accrual Caps: Is there a maximum amount of hours an employee can have in their "bank" before they stop earning more?
- Waiting Periods: Many companies require a 90-day probationary period before accrual begins.
- Part-time Adjustment: Ensure the "Hours Worked Per Week" is adjusted for part-time staff to maintain fairness.
