Understanding USPS Media Mail Rates

Media Mail is a cost-effective way to send educational materials, books, and sound recordings through the United States Postal Service. While it is significantly cheaper than Ground Advantage or Priority Mail, it comes with strict restrictions on what can be included in the package and generally takes longer to arrive (typically 2 to 8 business days).

What Can You Ship with Media Mail?

The USPS is very strict about Media Mail contents. If an inspector finds ineligible items, the package may be returned or delivered "Postage Due" to the recipient at a much higher rate. Eligible items include:

  • Books (at least 8 pages, no advertising)
  • CDs, DVDs, and Blu-rays
  • Sheet music
  • Printed objective test materials
  • Manuscripts and play scripts
  • Educational reference charts
  • Medical loose-leaf pages and binders

Note: Video games, computer drives, and digital drives are NOT eligible for Media Mail, even if they contain educational content.

How Media Mail Costs are Calculated

Unlike Priority Mail, which uses "zones" (the distance between sender and receiver) to determine price, Media Mail is based solely on weight. It doesn't matter if you are shipping from New York to New Jersey or New York to Hawaii; the price remains the same based on the poundage.

Example Calculation:

Suppose you are shipping a box of vintage hardcover books that weighs 4 lbs 5 oz.

  1. Rounding: USPS rounds 4 lbs 5 oz up to 5 lbs.
  2. Base Rate (1 lb): $4.13
  3. Additional weight (4 lbs extra): 4 x $0.74 = $2.96
  4. Total: $4.13 + $2.96 = $7.09

Weight and Size Limits

To qualify for the rates calculated above, your package must meet these criteria:

  • Maximum Weight: 70 pounds.
  • Maximum Size: 108 inches in combined length and girth (distance around the thickest part).
  • No Advertising: The contents cannot contain advertising, which is why most magazines (which contain ads) do not qualify.

Media Mail vs. Ground Advantage

For very light items (under 13-15 ounces), USPS Ground Advantage might occasionally be competitive in price and offers faster delivery with included insurance. However, once a package exceeds 1 pound, Media Mail is almost always the cheapest legal shipping method for eligible media items in the United States.
