The Step-by-Step Calculation Formula
- Convert times to a 24-hour format: If you use a 12-hour clock (AM/PM), convert your times first. For example, 1:00 PM becomes 13:00.
- Convert hours into total minutes: Multiply the hours by 60 and add the remaining minutes. For a start time of 9:30 AM, that is (9 * 60) + 30 = 570 minutes.
- Subtract the Start Time from the End Time: If you finished at 5:15 PM (17:15), that is (17 * 60) + 15 = 1,035 minutes. Subtract 570 from 1,035 to get 465 total minutes.
- Subtract Break Time: Deduct any unpaid breaks (e.g., a 45-minute lunch). 465 – 45 = 420 minutes.
- Convert back to hours: Divide the total minutes by 60. 420 / 60 = 7 hours.
Converting Time to Decimal Hours
Many payroll systems require time to be entered as a decimal (e.g., 7.5 hours instead of 7 hours and 30 minutes). To do this manually, divide the total minutes by 60.
